Role Purpose – 21.5 hrs pw

The purpose of this role is to manage all aspects of the office operations and facilities functions of the agency at a particular office location, including developing and implementing strategies for the effective and efficient operations of the assigned office location, including front reception, office supplies, vendors, office services and overall office appearance while maintaining a professional attitude that represents DAN and the assigned office location in the best light. Additional responsibilities include supporting local business unit staff in the areas of HR and IT where necessary and to support Managing Director of the office as directed.

Key Accountabilities

  • Overseeing key admin and office support processes including, client events planning and catering.
  • Create and maintains effective office processes including site and building access, site security, staff and visitor safety and well-being.
  • Ensure provision of consistently excellent, professional, and welcoming reception services always.
  • Planning and delivering staff entertainment, events and team building activities that are loved and valued by our teams.
  • Manages relationship and deliverables with landlords/building management to ensure high standards of premises at all times.
  • Deals promptly with scheduled and urgent maintenance through effective management of suppliers.
  • Ownership and management of key site and facilities projects including refurbishments.
  • Effective management and auditing of assets and Planned Preventative Maintenance and associated data and databases
  • To act as the Newcastle corporate social responsibility representative
  • Business continuity planning in line with wider Dentsu policy and procedures

Person Specification

Experience

  • 5+ years Office/facilities management experience delivering high quality customer service.
  • Demonstrable budget and financial management experience
  • Excellent communication skills and enthusiasm for working with people.
  • Flexible approach to work.
  • Strong administration and IT skills.
  • Demonstrable experience in managing office H&S, IOSH qualified desirable

Office / IT Systems:

  • Competent in the use of / ability to acquire knowledge and interpret IT systems and Asset management software
  • Competent user of Microsoft Office software, including, Word, Excel, PowerPoint, Teams and Outlook.
  • Strong problem-solving skills
  • Prioritisation, both individually and behalf of a team
  • Excellent attention to detail
  • Ability to meet deadlines and utilise resources effectively
  • Communication
  • The ability to communicate effectively at all levels within the organisation
  • Excellent written communication skills, with well-structured reports, presentations, and general correspondence
