The PA Hub Terms of Business

The PA Hub Limited takes its Terms of Business very seriously.

  1. Membership

1.1. To qualify for PA Hub membership all applicants must either be a PA, EA, VA, Secretary, Office Manager or equivalent business support professional roles and must carry out business support duties as part of their role overall.

1.2. All PA Hub Annual memberships run for a minimum of 12 calendar months starting from the month applied on the PA membership application form received by The PA Hub Limited.

1.3. Annual Membership fees – By completing The PA Hub annual membership form, the applicant agrees to pay the annual fee for their membership type. The Member agrees to pay the annual fee according to its membership type shown clearly on the Membership form and in accordance with the Membership information available here https://www.thepahub.co.uk/membership/. All Memberships are for a minimum 12-month period and renewable each year thereafter. In some cases, where payment is paid personally, payment may be split over three consecutive months, but the commitment remains for the full 12-month membership period.

1.4. Annual Membership fees must be paid in full within 30 days of the invoice date in order to access any Membership benefits. Where payment is split over three months, the first payment must be received within 14 days of the invoice date, with subsequent payments due monthly thereafter. Membership starts once the 1st payment is received.

1.5. Membership will be terminated if fees remain unpaid.

1.6. The minimum age to become a PA Hub Member is 18 years old.

1.7. Group Membership benefits apply to all employees of the Member Company in the specified city and whose email address has been passed on to The PA Hub Limited. All members need to register in the Members area to be eligible for the events included in the membership type.

1.8. Changes to Membership benefits will be notified to the Main Group Member of the Member Company.

1.9. No part of the membership fee can be refunded once payment is made. Your fee covers all events in accordance with the Membership information ‘What does the membership include?’ available here https://www.thepahub.co.uk/membership/

1.10. Once renewal instructions have been received and payment has been made within the payment terms, the Members benefits are reinstated in full immediately. Memberships are for a minimum 12-month period and renewable each year thereafter. Part years or non-attendance at events are non-refundable.

1.11. Membership Subscription Cancellation Policy. As membership subscriptions are calculated to provide services for a whole year, members can only cancel their subscription during a 14 day “cooling off period”. After 14 days, membership is strictly non-refundable and non-cancellable. Cancellations are not permitted if it falls within the 12-month membership subscription.

1.12. No part of the membership fee can be refunded once payment is made. Your fee covers all events in accordance with the Membership information ‘What does the membership include?’ available here https://www.thepahub.co.uk/membership/. No refund can be made for events not attended within the membership year.

1.13. The PA Hub recommends that you pay for your annual membership subscription by credit/debit card online as this is the most streamlined way of securing your initial membership in good time of your renewal date.

1.14. Membership renewal reminders will be sent to existing Members two months prior to the membership renewal date.

1.15. All levels of membership and membership entitlements are outlined in accordance with the Membership information available here https://www.thepahub.co.uk/membership/. Each membership tier provides access to specific events and benefits as detailed in the membership information. No refund can be made for events not attended within the membership year.

1.16. Members are added to our database and mailing list which you can unsubscribe from at any time. However, we use our mailing system to notify members of our events, so it is best to be on the list. We will not share your details with any third parties.

1.17. Non-members can obtain a ticket for individual events where available from the events pages on our website, but this will not give non-members membership entitlements.

1.18. Membership Tier Upgrades: Members may upgrade their membership to a higher tier within the first 45 days of their membership by paying the difference between their current tier and the upgraded tier. After 45 days, members wishing to access events from higher tiers may attend individual events at the advertised price or upgrade their membership tier at their next annual renewal.

  1. The PA Hub Social and Training Events

2.1. Event Registration: Priority is given to PA Hub members according to their membership tier, but registration is otherwise accepted on a first-come-first-served basis. A waiting list will be maintained if the capacity of the event is exceeded. The PA Hub Ltd reserves the right to decline registration/s at its discretion. All attendees must either be a PA, EA, VA, Secretary, Office Manager or equivalent business support professional roles and must carry out business support duties as part of their role overall.

2.2. Fees & Payment: Registration fees are to be received by The PA Hub prior to the event. All our prices are subject to VAT at the prevailing UK rate. The PA Hub accepts payment by credit card, BACS, invoice or internet banking. Delegates are responsible for booking and paying for their own accommodation, travel and parking costs as these are not included in any of our prices. However, there may be discounted rates available at selected hotels and these will be advised on the relevant event page.

2.3. Concessions: Event Concessions and benefits are available to The PA Hub members in accordance with their specific membership tier and the membership information available here: https://www.thepahub.co.uk/membership/

2.4. Amendments to event programmes: The PA Hub will endeavour to deliver each event. If necessary, The PA Hub reserves the right to make amendments to our programmes, panels or speakers.

2.5. Cancellation by The PA Hub Ltd: The PA Hub reserve the right to cancel a training course, workshop, conference, networking or any other event for any reason prior to the event date.

2.6. Delegate cancellation, substitution and non-attendance: Please refer to the relevant event registration page on our website for details.

2.7. Event photography – Photographs will be taken at The PA Hub Social and Training events, Showcases, Conferences and Award Ceremonies during the course of the events and added to various social media platforms. If you do not want to appear in any of our social media platforms, please make the photographer aware at the event.

2.8. Videos may be made at our events. If you do not want to appear on any of our social media platforms where the video will be shown, please make the videographer aware at the event.

2.9. Attendees booking any of our events will be added to our mailing list which you can unsubscribe from at any time.

2.10. The PA Hub is not responsible for any loss or damage to the property / venue where the event is held or any loss or damage to the personal possessions of the delegate attendees.

2.11. All attendees at our events are to be inclusive and show good nature. The PA Hub has zero tolerance to hate comments, discriminative remarks or any foul language. Alcohol consumption must be kept to a professional standard. Members who appear to be too intoxicated will be asked to leave the event. If this is a recurring theme members will risk losing their membership. Those who do not abide to our professional standards at The PA Hub events could ultimately lose their membership.

  1. Conferences

3.1. Payment: All Conference delegate tickets purchased are non- refundable. They are transferable to another business support professional for this conference only and cannot be transferred to a different conference. All delegate payments must be received prior to the conference date.

3.2. Concessions: Concessions are available to The PA Hub Members when booking a conference place in accordance with their specific membership tier and the Membership information available here https://www.thepahub.co.uk/membership/. All discounts are accessed by a code which The PA Hub will distribute.

3.3. Cancellation: If the conference event is cancelled due to circumstances beyond our control the event will be rescheduled. Conference delegate tickets purchased are non-refundable, but they are transferable to be used at the rescheduled conference or can be transferred to another business support professional for the same rescheduled conference only. All delegate payments must be received prior to the conference date.

3.4. Major Events: Specific Terms and Conditions related to Annual Awards Dinner, and Conferences will be detailed on the relevant event website.

3.5. Fees & Payment: Registration fees are to be received by The PA Hub prior to the Conference event. All our prices are subject to VAT at the prevailing UK rate. The PA Hub accepts payment by credit card, BACS, invoice or internet banking. Delegates are responsible for booking and paying for their own accommodation, travel and parking as these are not included in any of our prices. However, there may be discounted rates available at selected hotels, and these will be advised on the relevant event page.

3.6. Conference exhibitors will be sent a separate risk assessment form for each event they attend which must be completed before the event. Conference exhibitors must have the required insurance to protect themselves at such events.

3.7. Attendees booking any at our conferences, digital or live, will be added to our mailing list which you can unsubscribe from at any time.

3.8. The PA Hub is not responsible for any loss or damage to the property/venue where the event is held or any loss or damage to the personal possessions of the exhibitor attendees.

3.9 All attendees at our conference are to be inclusive and show good nature. The PA Hub has zero tolerance to hate comments, discriminative remarks or any foul language. Those who do not abide to our professional standards at The PA Hub events could ultimately lose their membership.

  1. Awards

4.1. All Awards ticket payments must be received prior to the Awards date.

4.2. Cancellation: If the Awards ceremony event is cancelled due to circumstances beyond our control the event will be rescheduled. All Awards tickets purchased are non-refundable, but they are transferable and can be used at the rescheduled Awards ceremony or transferred to another business support professional for the same rescheduled Awards ceremony only. All Awards ticket payments must be received prior to the Awards date.

4.3. Attendees booking awards tickets will be added to our mailing list which you can unsubscribe from at any time.

4.4. Major Events: Specific Terms and Conditions related to Annual Awards Dinner will be detailed on the relevant event website.

  1. Online Digital Events

5.1. All online events are included in applicable PA Hub Memberships according to membership tier benefits.

5.2. Digital events access is determined by membership tier in accordance with the Membership information available here https://www.thepahub.co.uk/membership .

5.3. Members can access digital events according to their membership tier benefits. Members wishing to access events from higher tiers may attend individual events at the advertised price or upgrade their membership tier within 45 days or at their next annual renewal.

5.4. All digital events will be available in the members’ area for a minimum of 7 days on a replay basis. This is dependent on the speaker’s wishes to how long we can make it available. We will endeavour to make them available as long as possible with 7 days being the minimum with some sessions being available much longer where possible.

5.5. Attendees booking any of our digital events will be added to our mailing list which you can unsubscribe from at any time.

5.6. Priority is given to PA Hub members according to their membership tier, but registration is otherwise accepted on a first-come-first-served basis. A waiting list will be maintained if the capacity of the event is exceeded. The PA Hub Ltd reserves the right to decline registration/s at its discretion.

5.7. All chat discussions are to be of good nature. The PA Hub has zero tolerance to hate comments, discriminative remarks or any foul language. Those who do not abide by this could lose their membership.

  1. Job Board

6.1. There is no charge for PA Hub Group Memberships to advertise business support roles on The PA Hub Job Board.

6.2. All job advertisements must be paid for in full where applicable prior to The PA Hub publishing the job on the Job Board.

6.3. The PA Hub will check all Job adverts prior to being advertised.

6.4. The PA Hub is not responsible for the recruitment process of any of the jobs advertised unless they are sub-contracted to do so.

6.5. The PA Hub does not get involved with letting candidates know if applications have been received or decisions for shortlisting, interviews or being offered a role. This is the responsibility of the company who is advertising the role.

6.6. All Job adverts are advertised in accordance with our Jobs Board web page.

  1. PA Hub Showcases

7.1. Attendees and exhibitors booking at our showcase events will be added to our mailing list which you can unsubscribe from at any time. All delegates must either be a PA, EA, VA, Secretary, Office Manager or equivalent business support professional roles and must carry out business support duties as part of their role overall.

7.2. All attendees must deal directly with prize providers, and The PA Hub are not responsible for anyone else’s prizes.

7.3. The prize expiry date cannot be changed. Please make sure prizes are claimed before this to avoid disappointment.

7.4. Showcase Exhibitors must abide by the following T&Cs:

7.5. All Showcases Exhibitors must complete a risk assessment form prior to attending the Showcase.

7.6. Exhibitors must provide an up-to-date certificate of their company liability insurance before the event.

7.7. All exhibitor payments must be received within 30 days from invoice date or before the showcase if booked within 30 days of the event. If you have not paid you will not be able to participate at the event.

7.8. We will not send any attendee contact information out to any exhibitors who do not attend the showcase or have not paid.

7.9. There is a maximum of 2 people allowed on an exhibitor stand.

7.10. We provide a trestle table, linen (where available) and a chair for each stand with room for a standard size banner. If you have any other equipment that will need more space, please contact The PA Hub team to check that there is available room to accommodate. If you turn up with extra equipment without prior consent, please note we may not be able to accommodate the space.

7.11. The exhibitor stand is only for your brand, and you cannot share a table with other brands. Each one needs to purchase their own stand.

7.12. As we do sell out at these events and we cannot resell in the later stages before the showcases, the following will apply if you do need to cancel your stand:

12 weeks or more prior to the event – you can have a full refund. If you have paid by credit/debit card, we will need to charge the refund fee that the payment system charges us. Alternatively, you can move your stand to another showcase date.

4 – 11 weeks prior to the event we can transfer your stand to another showcase date. No refund is possible.

Within 4 weeks of the event, we cannot refund or transfer your stand to the next showcase. If you cancel your stand within 4 weeks of the event and you have not paid your invoice yet, we will still charge you the fee for exhibiting.

7.13. If the event is cancelled due to circumstances beyond our control the event will be rescheduled, and we will inform you of this. If you cannot make that date, we will offer you a space at the next showcase you can attend.

7.14. Exhibitors will deal with the prize-winners directly.

  1. PA Hub Newsletter Features

8.1. All Newsletter feature information including text, images and promotional offers must be supplied by the company who are featured in the newsletter at least 7 working days prior to the newsletter being published.

8.2. Payment must be received before the article is published in the newsletter.

8.3. Photos provided to us by those featuring in the newsletter are responsible for making sure those pictures are not subject to copyright. Please make sure that you have the permission to share those photos/images as The PA Hub are not responsible for using those photos/images that you have provided and it is your responsibility to check.

  1. Exhibitors at Live PA Hub events

9.1. All PA Hub event Exhibitors must complete a risk assessment form prior to attending the event

9.2. Payment must be made prior to exhibiting.

9.3. Exhibitors must provide an up-to-date certificate of their company liability insurance before the event.

9.4. The Exhibitor will deal with The PA Hub prize-winner directly.

9.5. Exhibitor at Live events T&Cs.

All payments must be received within 30 days from invoice date and must be paid prior to the event date to be able to participate at the event. If an exhibitor stand is booked within 30 days of the event payment is due on return of the invoice.

If the event is cancelled due to circumstances beyond our control the event will be rescheduled. The stand fee is non-refundable but can be transferred to another event when a stand place becomes available.

9.6. Exhibitors booking at any of our events will be added to our mailing list which you can unsubscribe from at any time.

9.7. The PA Hub is not responsible for any loss or damage to the property/venue where the event is held or any loss or damage to the personal possessions of the exhibitor attendees.

  1. Sponsorship

10.1. All agreed sponsorships including PA Hub Awards, Conferences and other PA Hub events must be paid in full at least 30 days prior to the event. Social media coverage is included in all sponsorships once payment is received. If a sponsor prefers to have social media coverage for more than 30 days prior to the event payment may be made prior to the 30-day payment terms to allow social media coverage to commence.

10.2. All sponsors will be added to our mailing list which you can unsubscribe from at any time.

  1. The PA Hub Membership Card

11.1. All membership cards are only valid if you are a current PA Hub Member.

11.2. All PA Hub Members must present their Membership card as proof of eligibility for discount when visiting participating venues and suppliers. All PA Hub members must deal with the venue and suppliers directly.

  1. Online event bookings

12.1. All online event registration fees must be received by The PA Hub prior to the event. All our prices are subject to VAT at the prevailing UK rate. The PA Hub accepts payment by credit card, BACS, invoice or internet banking.

12.2. Priority is given to PA Hub members according to their membership tier for online events, but registration is otherwise accepted on a first-come-first-served basis. A waiting list will be maintained if the capacity of the event is exceeded. The PA Hub Ltd reserves the right to decline registration/s at its discretion.

12.3. Attendees booking any of our events will be added to our mailing list which you can unsubscribe from at any time.

  1. Your Information

13.1. The PA Hub does not share personal information with 3rd Party contacts without your permission at our online events other than the speaker/trainer if they request to send a follow up email. You can unsubscribe at any time from any follow-up emails.

13.2. The PA Hub will share your name, company and email with the venue that is holding an in-person event unless you state we are unable to do this at the event. You cannot be in the prize draw at the event without providing this information to the venue. You can unsubscribe at any time following the event.

13.3. We do not share lists with any other parties other than those we have stated above or asked permission for. We do encourage you to sign up voluntarily to any exhibitors or speaker lists that can advance your personal and professional development; we are not responsible for those lists you sign up to.

13.4. The showcase events are in Section 7 above so please refer to this section for full information. We do share attendee details with all the exhibitor stands at the showcases to save time of the delegates giving information at every stand.

  1. Venue and Supplier Directory Membership

14.1 The PA Hub Venue and Supplier Directory is open to businesses that supply products or services relevant to Executive Assistants, Personal Assistants, Virtual Assistants, Office Managers, and equivalent business support professionals.

14.2 All applicants must demonstrate a proven track record of professional service delivery, an understanding of corporate markets, and a commitment to excellence in customer service. The PA Hub Limited reserves the right to decline any application at its sole discretion, without being required to provide a reason.

14.3 Directory membership is available to businesses operating within or servicing the UK and Ireland.

14.4 The annual fee for a Venue and Supplier Directory membership is £750 plus VAT. All prices are subject to VAT at the prevailing UK rate.

14.5 Payment must be made in full within 30 days of the invoice date. Membership benefits will not be activated until payment has been received by The PA Hub Limited.

14.6 The PA Hub Limited accepts payment by credit card, BACS, invoice, or internet banking.

14.7 No part of the directory membership fee is refundable once payment has been made, regardless of whether the partner makes use of all benefits included within the membership.

14.8 All Venue and Supplier Directory memberships run for a minimum period of 12 calendar months from the 1st of the month after payment is received.

14.9 Membership will automatically expire at the end of the 12-month term unless renewed. The PA Hub Limited will endeavour to provide renewal information in advance of the expiry date.

14.10 The PA Hub Limited reserves the right to amend membership fees upon renewal. Partners will be notified of any changes prior to their renewal date.

14.11 Early renewal does not change the renewal date. The membership will always run for 12 calendar months from the original renewal date, with the next renewal date falling exactly one year later

14.12 If the renewal form is not received before the expiry date the listing will be removed.

14.13 The PA Hub Limited reserves the right to remove any directory listing that does not meet its quality standards or that is deemed inconsistent with the values of The PA Hub community, with reasonable notice given where possible.

14.14 Partners are responsible for supplying all listing content, including logos and images, in a suitable format and quality as specified by The PA Hub Limited. The PA Hub Limited reserves the right to refuse or remove content that it deems unsuitable, misleading, inaccurate, or inconsistent with its brand values. All images must be eligible to be used on our website and social media platforms and it is your responsibility to inform us if a photo is to be credited.

14.15 Partners warrant that all content submitted for inclusion in the directory is accurate, not misleading, and does not infringe the intellectual property rights or any other rights of any third party. Partners shall indemnify The PA Hub Limited against any claims arising from content they have supplied.

14.16 Multi-site listings are available at a bespoke rate. Partners wishing to discuss multi-site entries should contact The PA Hub Limited directly.

14.17 The PA Hub Limited will endeavour to publish the directory listing within a reasonable time following receipt of all required content and cleared payment. Timescales may vary and are not guaranteed.

14.18 Partners are entitled to include up to four special offers per year within The PA Hub members’ virtual goody bag area. Partners may state their own booking terms and conditions for each offer.

14.19 Offers may be activated or deactivated to suit the partner’s business needs and may be changed on a quarterly basis. The PA Hub Limited should be notified of any changes in advance to allow sufficient time for updates to be made.

14.20 Partners are solely responsible for honouring the terms of any offer they place within the goody bag. The PA Hub Limited accepts no liability in connection with the fulfilment of partner offers or any dispute that may arise between a partner and a member in connection with an offer.

14.21 The PA Hub Limited reserves the right to remove any offer it considers inappropriate, misleading, or inconsistent with the values of The PA Hub community.

14.22 Directory partners are entitled to a minimum of two featured posts within The PA Hub’s e-marketing activity during their membership year. These will consist of a new member introduction to the directory and a standalone Supplier Spotlight feature using the partner’s preferred content.

14.23 The timing and scheduling of newsletter features is at the discretion of The PA Hub Limited, taking into account the broader editorial calendar. The PA Hub Limited will endeavour to fulfil these features within the membership year.

14.24 Partners are responsible for supplying content for the Supplier Spotlight feature in a timely manner and in a format acceptable to The PA Hub Limited. The PA Hub Limited reserves the right to edit submitted content for clarity, length, or brand consistency.

14.25 Directory partners receive a 25% discount on all PA Hub supplier showcase events held during their membership year. This discount applies to the standard published event rate at the time of booking.

14.26 The discount is non-transferable and applies only to the directory partner organisation. It cannot be used in conjunction with any other offer or discount unless expressly agreed in writing by The PA Hub Limited.

14.27 Showcase event bookings remain subject to The PA Hub Limited’s standard event terms and conditions as set out in the relevant sections of these Terms of Business.

14.28 Partners are expected to conduct themselves and their businesses in a professional manner consistent with the values of The PA Hub community at all times, including at any showcase events or other PA Hub activities.

14.29 The PA Hub Limited reserves the right to suspend or permanently remove a partner’s directory listing without refund if the partner’s conduct, business practices, or content are deemed to be harmful to The PA Hub brand, its members, or the wider community.

14.30 By completing a directory membership application, partners will be added to The PA Hub Limited mailing list. Partners may unsubscribe at any time.

14.31 The PA Hub Limited does not share partner contact details with third parties without prior consent, except where required by law or as otherwise set out in these Terms of Business.

14.32 The PA Hub Limited reserves the right to amend these terms at any time. Partners will be notified of any material changes.
